Who we are. Peak Cottage Collection is the trading name of HTK Property Investments Limited, company number 13926129, registered office Eastview Cottage, Calow Green, Chesterfield S44 5XQ. We are the data controller for the personal information described here. We are registered with the Information Commissioner’s Office, registration number ZB570287. You can reach us at info@peakcottagecollection.co.uk or on 07486 591429.
This notice covers our website, our holiday cottages, the guest Wi-Fi in those cottages, the Peak Cottage Collection Loyalty Club and the seasonal giveaway. It was last updated on 18 September 2026 and we will change it when what we do changes.
When you book or stay with us. Your name, contact details, the names and ages of the people in your party, your booking dates and payment status, the answers you give us before arrival (arrival time, special requests, accessibility needs, whether you are celebrating), and the messages between us. If you booked through Airbnb, Booking.com, Vrbo or Travel Chapter, they pass us what we need to host you and may keep your email address masked; they are separate data controllers and their own privacy notices apply to what they hold. We use this information to run your stay, look after the property, keep you safe, deal with any damage or incident, and meet our legal obligations. The lawful basis is the contract with you, and for accounting, safety and incident records, our legal obligations.
Payments. Direct bookings are paid through Stripe. We never see or store your full card details.
After your stay. We keep a record of who stayed where and when, so we can recognise you if you come back, and we may ask you once for a review. The lawful basis is our legitimate interest in running a good business, and you can object at any time.
Guest Wi-Fi. The Wi-Fi in our cottages is provided through StayFi. Connecting records your device identifier and the time you connected, which is needed to run the network. You can connect without giving us anything else. If you choose to join the Loyalty Club on the Wi-Fi page, the details you enter are handled as described below.
The Loyalty Club and marketing. If you join the Club on the Wi-Fi page, on our website or through the walking guide page, we hold your name, email address, the date and place you joined, the cottage you were staying in, and any interests, travel months or other preferences you tell us. We use these to send you the walking guide if you asked for it, to enter you in the seasonal giveaway, and, only if you ticked the box, to email you early availability, returning guest offers and Peak District ideas. The lawful basis for marketing is your consent, which you can withdraw at any time using the link in every email or by writing to us. We record when and where you consented and the wording you saw. We may add a note of the topics you click on in our emails so that we send you less, not more.
The seasonal giveaway. Entries are drawn from Club members. We use the winner’s name and contact details to award the prize, and we publish a winner’s first name and county only with their agreement. Full terms are on the giveaway page.
Guest books. Our cottages have paper guest books. We read them, and we may transcribe the places guests recommend into our own guide, without names.
Enquiries. If you email, call or message us, we keep the exchange so we can answer you and for as long as it is useful to do so.
Website. Our site is built on WordPress, managed for us by Boostly and hosted by Kinsta. If you use the chat window on the site, what you type goes to our customer system (HighLevel) so we can reply. We do not sell or trade your information and we do not use it for automated decisions that affect you.
The companies that process information for us under contract: Hostaway (our booking and guest messaging system), Boostly and HighLevel (our customer list and email), StayFi (guest Wi-Fi), Stripe (payments), Google Workspace (email and documents), Kinsta and Cloudflare (website hosting and security), CookieYes (your cookie choices), Elfsight (the reviews feed on our site), Meta for WhatsApp Business messages where you message us that way, and AI-assisted tools from Anthropic that help us draft replies and organise our records. Our cleaners and maintenance contractors see the arrival details they need and nothing else. Owners of cottages we manage on their behalf receive booking and financial information about stays in their property, not your marketing preferences. We share information with the police, insurers or a regulator when the law requires it.
Some of these providers are outside the United Kingdom, mainly in the United States. Where that is the case we rely on the UK’s adequacy regulations for that country, the UK extension to the EU-US Data Privacy Framework where the provider is certified, or the UK International Data Transfer Addendum in their contract with us.
Booking and financial records: six years after the end of the financial year they relate to, because HMRC requires it. Guest contact details, stay history and Club preferences: three years after your last stay or your last contact with us, then deleted or anonymised. Marketing consent: for as long as you stay opted in, then a record of your withdrawal so that we do not contact you again. Incident and damage records: six years. Wi-Fi connection logs: for the period StayFi keeps them to run and secure the network; we will add the exact period here once StayFi has confirmed it.
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to our use of it where we rely on legitimate interests, and ask for a copy in a form you can take elsewhere. You can withdraw marketing consent at any time. Email info@peakcottagecollection.co.uk or write to the address above; we will answer within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Our cottages are booked by adults and the Loyalty Club is for people aged 18 and over. We do not knowingly collect personal information from anyone under 18, and the Wi-Fi sign-up asks you to confirm you are 18 or over. If you think a child has given us their details, tell us and we will remove them.
Our website uses the cookies it needs to work, such as remembering your booking search and your cookie choices. The chat window (HighLevel) stores information in your browser to keep your conversation going, so it only loads if you allow functional cookies on the banner. Our reviews feed is loaded from Elfsight, which means your browser requests it from their server; it does not set cookies. We do not use advertising or analytics cookies. You can change your choices at any time from the cookie settings link in the footer.
